Overview of the Role

Our German Office is rapidly growing and therefore we are looking for an Executive Assistant (m/f/d) to join the our team ideally in Munich; someone who has demonstrated strong analytical and administrative skills, enjoys helping others, takes ownership of their work, is solution orientated and strives working with an ever-changing, international environment.

The right candidate (m/f/d) will have experience in dealing with busy professionals working across Europe with tight deadlines; being one step ahead of their team's needs and understanding the importance of building relationships with clients and their teams. The role requires someone who is personable, friendly, flexible and confident.

This is a fantastic job for someone who is hands-on and likes a rewarding and challenging role, in a fun and friendly environment. You should either have completed an apprenticeship in business administration / in the hospitality sector, or have a Bachelor in economics / business administration with at least four years of working experience in a comparable position. Excellent communications- and organisation skills, attention to detail and the ability to work under time pressure are all important to the role.

Responsibilities include but not limited to:

  • Supporting the Managing Director- & Senior Director team of your Business Unit in their daily business
  • Setting up projects
  • Processing of incoming invoices and raising client invoices
  • Preparing time and expense reports
  • Using Salesforce.com to track and monitor marketing activities
  • Onboarding of new colleagues
  • Scheduling meetings and conference calls internal and external
  • Coordinating travel plans, hotels and car service
  • Organizing internal & external events, incl. administration of meeting rooms

Essential requirements:

  • High level of interpersonal skills to handle sensitive and confidential information
  • Interact and communicate with all levels of the organization
  • Multi-task in a fast-paced environment; constantly prioritize/ reassess tasks
  • Work independently and within a team
  • Be pro-active and involved in executive business dealings
  • Build a network (internal and external)
  • Excellent oral and written communication skills, fluent in German and English
  • Proficient in MS-Office
  • Service-oriented
  • Detail-oriented organizational talent
